Document audiences
Restrict a document to specific LPs or contacts inside a report set, and see how the portal and access log respect it.
Most documents in a report set go to every recipient. Some should not: a side letter, one LP’s capital statement, a document for a single named person. A document’s audience narrows who, among the set’s recipients, can see it.
Two options
- All recipients — the default. Everyone with access to this set sees the document.
- Specified only — pick from this set’s recipients: whole LPs, individual contacts inside an LP, or contacts added for this set.
An audience never widens access. Someone who is not a recipient of the set cannot see any of its documents, whatever the audience says.
Set the audience of one document
- Expand the set on LP Reporting.
- On the document row, click the audience chip. It reads “Visible to every recipient — click to restrict” or lists the names it is limited to.
- In Who can see this document?, choose All recipients or Specified only.
- With Specified only, tick the box on an LP to include everyone at that LP. To pick people inside an LP, click the row to expand it and tick individual contacts. Only the checkboxes select; clicking a row expands it.
- Click Save visibility.
Restricted documents show an amber audience chip on the row. If a document name looks LP-specific, the dialog suggests restricting it; it is a hint, not a rule.
Set the audience of several documents
- Use the checkboxes on the document rows, or Select all in the toolbar. The toolbar shows “3 selected” and a Set visibility button without moving the rows.
- Click Set visibility.
- If the selected documents currently differ, the dialog says so. Choose one option; it applies to all of them.
- Click Apply to N documents.
Where the audience applies
- LP portal — a recipient sees only the documents whose audience includes them. Documents restricted to them carry a For you marker.
- Access log — “eligible” recipients for a document are those in its audience, so Opened by 2 of 2 is correct for a document restricted to two people, and “Not opened” lists only people who could have opened it.
- Reminders go only to eligible recipients.
Tips
- Audiences are per document, not per set. Restricting one document leaves the rest at All recipients.
- If the set has no recipients yet, the dialog cannot offer anyone to pick. Add the fund’s LP contacts first.
- Changing an LP’s contacts on Funds changes who “Everyone at this LP” means; the audience follows the LP, not a frozen list of names.
