Recipients

How a report set's recipients are derived from the fund's LP contacts, and how to add or remove people.

Recipients are the people who can see a report set in the LP portal and who receive its notification email. You do not maintain a list per set. Recipients are derived: the fund’s LP contacts, plus anyone you add for this set, minus anyone you remove.

The rule

recipients = the fund’s LP contacts (automatic) + contacts added for this set − contacts removed from this set

LP contacts are managed per LP on the Funds screen; see LP contacts. When you add a contact to an LP there, every existing and future set for that fund includes them. When you remove one, they leave every set.

Open the Recipients dialog

On LP Reporting, click Manage recipients on the set’s row. The dialog is titled “Recipients — ” and shows the fund, the period and the recipient count. It has up to three parts:

  • Recipients from fund LPs — one row per LP with the names of its contacts and a Manage LP contacts icon. That icon opens the same LP-contact popup as the Funds screen, and a note reminds you that edits there update the LP everywhere, not just this set.
  • Added for this set — contacts you added manually, as chips you can remove.
  • Excluded — a line stating how many LP contacts are excluded from this set, with Restore all.

At the bottom is a search box.

Add a recipient for one set

  1. In the search box, type a name or email and pick a contact.
  2. If the person does not exist yet, choose Add ”…” as a new contact. Enter Full name, Company (search, or type a new one with its Company website), Email and Language, then click Add contact.

The person is saved to Contacts and appears under Added for this set. They are not attached to any LP, so they do not receive other sets unless you add them there too.

Remove a recipient from one set

  • LP contacts can be excluded while you create the set: remove their chip in the New report set dialog. The Recipients dialog of an existing set shows how many are excluded and offers Restore all; it does not exclude LP contacts one by one. To stop a person receiving every set of the fund, remove them from the LP on Funds instead.
  • Manually added contacts are removed from their chip under Added for this set.

What recipients see

  • Only recipients see the set in the portal, and only when the set is Published.
  • Documents can be narrowed further per document; a restricted document is visible to a subset of recipients only. See Document audiences.
  • The publish review lists recipients with their language code and emails each one in their language. See Publish and notification email.
  • The access log counts recipients as “eligible” for a document, so Opened by 3 of 8 means three of the eight people who could open it did.

Tips

  • If a set shows No recipients yet, the fund has no LP contacts. Add them on the fund’s LPs tab rather than adding people set by set.
  • A recipient’s Language lives on their contact record. Change it once and every future email follows.
